Log a property expense

  1. Open Operating Expenses → Record New Expense.
  2. Select the property and expense category.
  3. Enter vendor/payee, expense date and amount paid.
  4. Add the invoice/receipt reference and a clear description.
  5. Choose Save Expense and confirm the row and total.
Use the date and reference from the actual expense. A description such as Replaced leaking bathroom tap in A-101 is more useful than Repairs alone.

Choose a report currency to review expected rent, collected rent, outstanding arrears, operating expenses and net operating income. The multi-currency breakdown separates properties’ currencies; it does not convert them at an exchange rate. For example, a billed and fully allocated UGX 500,000 rent payment with UGX 25,000 expenses produced UGX 475,000 net operating income and zero outstanding rent. Report totals follow the application’s charge and allocation summaries. Always compare the underlying receipt dates, due dates and covered periods when reviewing advance payments; a future-period bill and a cash receipt today represent different dates.
If collected rent looks wrong, inspect the receipt’s charge allocations. If occupancy looks wrong, inspect the unit’s active lease.
