Open Ledger & Payments to see three areas: Billed Charges Ledger, Payment Receipts, and Security Deposits.
1

Select the tenant

Choose Record Tenant Payment and select a tenant with a lease. Their outstanding charges appear in the allocation section.
2

Enter the received payment

Confirm the total amount, method and payment reference. A reference should identify the actual mobile-money transaction, bank transfer, cheque or cash receipt.
3

Review the allocation

Check which charges the payment settles. The form suggests allocations from outstanding bills. Adjust them to match the agreed purpose of the money.
4

Save the receipt

Choose Save Payment & Generate Receipt. Check the receipt entry and each charge’s remaining balance.

Partial and full payments

For a UGX 500,000 bill, recording and allocating UGX 300,000 leaves UGX 200,000 outstanding and a PARTIAL status. A further allocated UGX 200,000 settles it as PAID. Recording a receipt without allocating it to a charge does not automatically settle that charge. For rent paid ahead, agree on the relevant billing period or whole-lease bill first. Do not assume that a large payment alone changes the lease end date. Use Extend Lease for extra occupancy time.

Custom charges and deposits

Post Custom Charge is for an additional billed item such as water or a service charge. Enter the tenant, charge type, description, amount and due date. Check the selected lease before saving. Deposit records show required amounts and recorded deposit figures. A lease’s deposit requirement is separate from rent, and a newly created required deposit is not proof that money was received. Follow your organization’s deposit-handling process and inspect the record before reporting it as collected.
A saved receipt records money already received. This screen does not request a mobile-money debit from the tenant.
